Role Outline

The Operations and Payments Analyst plays a critical role in managing and optimising payment processes, ensuring operational efficiency, and supporting financial transactions. This role involves

Payments Processing:
• Input and process financial transactions accurately and efficiently.
• Ensure all payment instructions comply with internal policies and external regulations.
• Verify transaction details to prevent errors and fraud.
• Oversee card transactions, ensuring successful authorization and settlement.

Chargebacks & Refunds:
• Investigate and process chargebacks in line with industry regulations and internal policies.
• Collaborate with banks, payment processors, and customers to resolve disputed transactions.
• Handle refunds efficiently, ensuring accurate reconciliation and timely processing.

Card Stock Management:
• Monitor and maintain stock levels of cards, ensuring availability for distribution.
• Conduct regular stock checks and report any discrepancies.
• Coordinate with suppliers to reorder cards when necessary.
• Distribute cards to clients following internal procedures and verification protocols.
• Ensure accurate record-keeping of issued cards and maintain audit trails.
• Provide guidance to clients on card activation, usage, and security measures.

Compliance & Risk Management:
• Ensure adherence to company policies, regulatory requirements, and industry standards.
• Follow anti-money laundering (AML) and fraud prevention protocols.
• Support audits by providing necessary transaction details and documentation.
• Monitor card transaction compliance, ensuring security measures like PCI DSS standards are met.

Operational Support:
• Work closely with internal teams (Operations, Finance, Compliance) to ensure smooth payment processing.
• Assist in resolving payment-related queries, including card payment disputes.
• Maintain and update standard operating procedures (SOPs) for payment processing, chargebacks, and refunds.

Skills & Qualifications
Accuracy & Attention to Detail:
• High level of precision in data entry and transaction processing.

Technical & System Knowledge:
• Familiarity with banking/payment platforms, chargeback management systems, and financial
systems.
• Basic proficiency in Excel and other data management tools.

Time Management & Efficiency:
• Ability to process large volumes of transactions, chargebacks, and refunds within tight deadlines.

Communication & Teamwork:
• Strong collaboration with internal teams to ensure timely and accurate processing.
• Effective communication skills to interact with customers, banks, and payment processors regarding disputes and refunds.

The holder of this position will be expected to pass the required background checks in line with the Bank’s policy.
